We recommend black & white with a DPI of 300 and Group 4 compression.

Check that the statement is accurately gridded as poorly positioned grids may cause additional OCR errors. Once the gridding is accurate and complete export to Excel. Attempt to process the statement as this will often fix many common OCR errors. Any remaining errors will need to be manually fixed.

Each line should be gridded separately so that each entry is on a different row. Ensure that the correct multi-row option is selected on the process window in Excel. If the credit or debit value is aligned with the top or first row then select Value aligns with top row alternatively if the credit or debit value is aligned with the bottom or last row then select Value aligns with bottom row.

To remove a single divider click the Delete Dividers in Grid icon from the tools menu and hover over the grid line until a single black line with a cross in the middle appears then click. Alternately you may find it easier to delete all column dividers using F6 and adding the dividers again manually.

Click Help and select About Altia OCR Tool. The version number is formatted as four numbers in the format of x.x.x.xxxxx.

  • Excel 2007 – This version is 32 bit only.
  • Excel 2010 – Select File -> Help -> About Excel and the version will be listed at the end of the first line in the popup window.
  • Excel 2013 – Select File -> Account -> About Excel and the version will be listed at the end of the first line in the popup window.
  • This problem is usually caused by Excel being abruptly shut down or crashing whilst the Altia tab was completing a task. If this has happened then the next time Excel is started it will ask whether to disable the Altia Investigation Toolkit add-in. If Yes is selected then the Altia tab will no longer be visible in Excel. To prevent this occurring No should always be selected. However if you have accidentally selected Yes then it can be re-enabled by:
    •  Excel 2007 – Select the Excel Application Icon -> Excel Options -> Add-Ins -> Select Disabled Items from the Manage list -> Go -> Select Altia Toolbar (mscoree.dll) and click Enable -> Click Close -> Click OK and then re-start Excel.

    If the Disabled Items list is empty then select the Excel Application Icon -> Excel Options -> Add-Ins -> Select COM Add-ins from the Manage list -> Go -> Select and check Altia Toolbar -> Click OK and then restart Excel. Dependant on the system environment this may need to be completed by a user with local administrative privileges on the PC.

    • Excel 2010 – Select File -> Options -> Add-Ins -> Select Disabled Items from the Manage list -> Go -> Select Altia Toolbar (mscoree.dll) and click Enable -> Click Close -> Click OK and then re-start Excel.

This is because you are attempting to import a file that is not an electronic Barclays bank statement file. If you are importing an electronic Barclays credit card statement this will also receive the same error message as it cannot be processed directly by Investigation Toolkit.

The electronic statement data has possibly been changed, deleted or corrupted in some manner.  For an electronic statement file to be valid the following checks are made:

  • Barclay Bank Statement – the first populated row of data is validated to contain the following 3 text markers: BARCLAYSFICHE and LEDGER
  • PayPal – the named range Print_Titles is validated to exist in the workbook and that an All Transactions sheet exists

Check that the correct and full date is inserted into the Opening Date field of the Process window in Excel and that the Primary Date format is correctly set as either ‘Day, Month‘ or ‘Month, Day‘ to match the statement transaction date style.

Click About on the Altia Toolbar. The version number is formatted as four numbers in the format of x.x.x.xxxxx.

If you select Yes then the data will be reloaded and you will lose any manual changes that you may have made to the data. If you select No then the data will not be reloaded resulting in any changes that you may have made being saved. However, selecting No will mean that any changes that Excel may make also being saved, for example whole numbers being divided by 100.

We recommend that you ALWAYS click on the Altia tab before manually making changes to the data prior to processing.

Toolbar FAQs

Contact your IT department or network administrator and request that they create a network shared folder for each that all authorised users can access. Once these are created copy the profile(s) to the relevant folder. Open Excel and on the Altia tab click Application Settings and enter the address(s) of the new shared folder into the relevant text field or navigate to the shared folders using the Browse button.

Once completed any profiles added or created to the shared folder will be available to all users.

This is due to Excel filters being used on the workbook. Open the donor spreadsheet and if filtering is active then turn off then click in cell A1. Then turn filtering on and then off again and save the spreadsheet.

It is recommended to always use the Open button on the Altia tab in Excel as opposed to using Excel’s own Open button as it can at times cause unexpected problems.
